MAJOR DUTIES OF THE OFFICERS

President
Total time commitment - 10 hours per month
• Presides over the Board of Directors meetings, the Annual Meeting, and any Special Meetings
• Works with Officers and Board to prepare the annual budget
• Works with Board to address issues that arise
• Signs Association checks as needed
• Serves as an ex-officio member of all committees
• Works in partnership with the association to make sure board resolutions are carried out
• Calls special meetings, as needed
• Assists Secretary in preparing agenda for meetings
• Assists in conducting new board member orientation
• Works with the Nominating Committee to recruit new board members
• Acts as a spokesperson for the Association
• Signs all contract agreements with vendors
• Bank Account signer (if needed)
Treasurer
Total Time Commitment – 4 hours per month
• Attends all Board meetings
• Holds checkbook, writes checks
• Works with Officers and Board to prepare the annual budget
• Understand financial accounting for nonprofit organizations
• Serves as financial officer of the Association
• Creates and mails statements to all homeowners for annual dues
• Collects and tracks payments of dues from each homeowner
• Notifies the Board of any delinquent accounts
• Manages collections process
• Receives and pays invoices for all vendors and utilities
• Manages reimbursements for authorized expenditures
• Maintains and pays for Association insurance policy
• Maintains accounting records through Board approved accounting system
• Files association tax returns by March 30th
• Bank Account signer
• Updates new owner's info in Payhoa (Change of Ownership)

Secretary
Total time commitment – 10 hours per month
• Attends all Board meetings
• Maintain all Board and committee records and ensure their accuracy and safety
• Proposes annual and special Board and Association meeting schedules for approval by the Board
• Takes minutes at meetings and reviews prior meeting minutes at Board and Association meetings
• Plans meeting agendas with the President and board members
• Issues notices of meetings, posting on Google Calendar
• Handles correspondence for the board, including notices and reminders to homeowners
• Keeps a roster of all homeowners, including email addresses for communication
• Bank account signer

Extended roles
Landscape Liaison
Total time commitment – 4 hours per month
​
• Act as a point of contact between the homeowners and the landscaping business
• Responsible for soliciting bids yearly
​
Architectural Review Committee
Total time commitment – 4 hours per month
​
• Review architectural plans and designs submitted by property owners to ensure they meet established community guidelines and standards.
• Provide feedback and recommendations to property owners and/or developers on design changes that may be needed to comply with guidelines and standards.
• Approve or deny architectural plans and designs based on their compliance with established guidelines and standards

Website/Owner's Portal Committee
Total time commitment – 2 hours per month

• Updates website and the owner's portal
• Responsible for making sure info is updated and current
